A dealer ordering app for manufacturers lets your dealers place orders on their phone or laptop instead of calling or sending a WhatsApp message to your sales team. For an Indian manufacturer, a working version starts as a web app from ₹9,999 or an Android and iOS app from ₹14,999, and a complete system with dealer pricing, credit limits and billing links runs ₹2.5–10 lakh. Other Indian cost guides quote ₹2–25 lakh for apps in general.

This post is for manufacturers and distributors who take orders over calls, WhatsApp and Excel today. It explains what the app does, what drives the cost, and what to check before you build one.

What problem does a dealer ordering app solve for a manufacturer?

Most manufacturers in India take dealer orders in a scattered way. One dealer phones the sales executive. Another sends a photo of a handwritten list on WhatsApp. A third emails an Excel sheet. Someone in the office types all of it into the billing software at the end of the day.

This causes three daily problems. Orders are typed twice, so mistakes creep in. Dealers do not know if an item is in stock until someone calls back. And you cannot see in one place what each dealer ordered last month, what they owe you, or which dealers have gone quiet.

A dealer ordering app moves the order to the dealer's own phone. The dealer picks products, sees their own price and the stock, and submits. Your team sees a clean order list with nothing to retype.

What does a dealer ordering app for manufacturers actually do?

Start with a small set of features and add more once dealers are using it. The table shows the usual build in three stages.

Stage

Features

Who it helps

Stage 1: Order

capture

Dealer login, product catalogue with

photos, cart, order submission, order

history, reorder in one tap

Dealers and sales team

Stage 2: Control

Dealer-wise price lists, stock visibility,

credit limit checks, order approval, PDF

invoice or proforma

Owner, accounts,

dispatch

Stage 3: Connect

Link to Tally or your ERP (the software that

holds your stock and accounts), WhatsApp

order alerts, payment reminders, scheme

and discount rules, reports

Owner and finance

Most manufacturers do not need stage 3 on day one. A stage 1 app already removes the double typing and the missed calls.

What should I put in the app first?

Pick the three things that waste the most time today and build those. In most factories they are the catalogue, the order form and the order status.

The catalogue is your product list with photos, pack sizes and codes. Dealers order by code or by picture, so keep both. The order form should let a dealer repeat last month's order in one tap, since most dealers buy the same twenty items again and again.

The order status tells the dealer whether an order is received, approved, packed or dispatched. This single screen cuts the "where is my order" calls to your office. You can add transport details and lorry receipt numbers later.

How much does a dealer ordering app cost in India?

The cost depends on how many things the app has to do and how many other systems it has to talk to. Here is how the pieces move the price.

The wide range exists because "dealer app" can mean a simple order form or a full system. We ask a few questions on one call and then give a fixed written quote. The price only moves if the scope does.

Our app development cost guide shows how features change the price, if you want to estimate before the call.

How long does it take to build one?

A first usable version is built in stages. You get a working build or link every two weeks, so you see real screens early and can correct the course before the money is spent.

The longer part is often on your side. Cleaning the product list, agreeing dealer-wise prices, and deciding who approves orders take time. Start collecting your product master in Excel (product code, name, pack size, price, stock) before the first call, and the build goes faster.

Should it be a web app or a mobile app?

Both work, and the right choice depends on your dealers. A web app opens in the phone browser or on a laptop and needs no installation. A mobile app is installed from the Play Store or App Store and can send notifications.

If your dealers are shop owners using mid-range Android phones and WhatsApp all day, a mobile app or a web app that works well on a small screen will do. If your dealers are larger distributors with office staff on computers, a web portal is faster to roll out.

Many manufacturers start with the web version, see which dealers use it, and add the mobile app later. Our mobile app development and web application development teams build either one, and the two can share the same backend.

What should a manufacturer watch out for?

Four things go wrong most often.

Dealer prices leaking. Each dealer should only see their own price. Build the app so that price lists are tied to the login, and test this before you invite anyone. If one dealer sees another's rate, you will hear about it.

Credit limits ignored. If the app accepts orders from a dealer who has overdue payments, your team ends up cancelling orders by phone. Decide the rule up front: block the order, send it for approval, or accept it with a warning.

GST and invoicing. The app should hand the order to your billing software in a form your accountant can use. Ask your CA whether e-invoicing applies to your turnover before you decide who creates the invoice, the app or your existing software.

Dealer data safety. You will hold dealer names, phone numbers, addresses and GST numbers. India's DPDP Act expects you to protect personal data and say what you use it for. Use role-based logins so that sales staff, accounts and dispatch see only what their job needs, and keep the data in an account you own.

Also plan for the dealers who will not install anything. Keep a way for your sales team to enter an order on behalf of a dealer, so both routes land in one list.

Have you built a similar system before?

One of our clients in vehicle rental has a similar shape of system. We built online booking with document upload and an admin dashboard for a vehicle rental business: bookings, vehicles, customers and inventory in one admin view. A dealer ordering system has the same shape, with dealers in place of customers and stock in place of vehicles.

The pieces are familiar to us: login, catalogue or inventory, order flow and an admin dashboard. What changes for you is the pricing rules and the links to your own billing software.

How do I start?

Write down five things before you call: the number of dealers, the number of products, how orders reach you today, which software holds your stock and accounts, and the one problem you want fixed first. With those, we can give a fixed quote in writing.

You can see more of what we build for factories on our manufacturing software development page. We work in New Delhi and meet clients across Delhi NCR in person, and we work remotely with manufacturers elsewhere in India.

Your code, accounts, domain and dealer data stay in your name from day one. You get a working build every two weeks, and one person on WhatsApp who knows your project.

FAQ

How much does a dealer ordering app cost in India?

Costs depend on features and links to other software. Ureka's published starting prices are from ₹9,999 for a web application and from ₹14,999 for an Android and iOS app. A complete app system with admin panel, backend and billing links runs ₹2.5–10 lakh. Other Indian guides quote ₹2–25 lakh for apps in general.

Should a dealer ordering app be a web app or a mobile app?

Both work. A web app opens in the phone browser or on a laptop and needs no installation, which suits distributors with office staff. A mobile app is installed from the store and can send notifications, which suits dealers who live on their phones. Many manufacturers launch the web version first and add the mobile app later.

What features should a dealer ordering app have?

Start with dealer login, a product catalogue with photos and codes, a cart, order submission, order history and one-tap reorder. Then add dealer-wise price lists, stock visibility, credit limit checks, order approval and PDF invoices. Links to Tally or your ERP, WhatsApp alerts and scheme rules can follow once dealers are using it.

Can a dealer ordering app connect to Tally or my ERP?

Often yes, depending on what your accounting or ERP software allows. Some offer import and export files, others offer an API, which is a way for two programs to exchange data. We check this on the first call and include the work in the fixed written quote.

How do I stop dealers from seeing each other's prices?

Tie every price list to the dealer's login, so each dealer sees only their own rates. Use role-based access for your staff as well, so sales, accounts and dispatch see only what their job needs. Test this with two dummy dealers before you invite real ones, and keep the data in accounts you own
