Case management software for law firms in India is a web application that keeps every client, case, hearing date, document and bill in one place, instead of in files, email and WhatsApp. A custom web app starts from ₹9,999, and a complete system with client portal, document storage and reminders usually falls in the ₹2.5–10 lakh range for Ureka projects. This post explains what such a system does, what drives the price, and what to

check before you sign. Written by the Ureka Technologies team

Key takeaways

A law firm system has six core jobs: intake, case tracking, hearing calendar, documents, billing and client updates.

Start with the two or three jobs that waste the most time. A smaller first version costs less and gets used sooner.

Client confidentiality and data safety come before features. Ask where documents are stored and who can open them.

You should own the code, the data and the hosting account. Ask for that in writing.

What does case management software for law firms in India do?

It gives every matter one record that holds the client details, case number, court, next hearing date, documents, notes and fees. Everyone in the firm sees the same current information, according to their role.

Most small and mid-size firms we speak to run on a mix of Excel sheets, email folders, paper files and WhatsApp groups. That works until a junior leaves, a hearing date is missed or a client asks "what is happening with my case?" and nobody can answer in one minute.

If you have looked at off-the-shelf tools, you will have noticed that many are built for US or UK practice. Court levels, hearing patterns, vakalatnama paperwork, GST invoices, and Hindi or regional-language documents are Indian realities that generic tools handle awkwardly. That gap is where custom work earns its place.

How much does case management software for a law firm cost in India?

For a custom build, plan on ₹9,999 as the starting point for a basic web application, and ₹2.5–10 lakh for a complete system with several user roles, document storage, reminders and a client portal. These are Ureka's published ranges. Your fixed quote depends on the final feature list.

For comparison, other Indian guides quote ₹2–25 lakh for apps in general. That is a third- party range and covers every kind of app, so use it only as a wide outer boundary.

Running costs come after launch: hosting, backups, and any WhatsApp message charges. Ask for these in writing. Our guide on website and web app costs in India explains how hosting and support are usually priced.

How long does it take to build?

A first version with intake, matter records, hearing calendar and document storage typically takes a few weeks to a couple of months. The exact time depends on how quickly your team confirms forms and workflows.

When we build systems like this, the part that usually takes longest is not code. It is agreeing the matter stages and the fields on the intake form. Do this on one sheet of paper before the project starts and you will save weeks.

We work in two-week cycles. You get a working link every two weeks, so a clerk can test it with real cases while the next part is being built.

What does a normal day look like once the system is running?

A new client calls on Monday. The clerk opens the intake form, fills it once, and attaches the ID and the notice received. The system creates the matter and assigns it to an associate.

On Tuesday the associate uploads the draft reply, and the partner reviews it from the same screen, not from an email thread. On Wednesday morning the hearing reminders

arrive on WhatsApp for every matter listed that week.

At month end, the accounts person sees fees due by client and sends GST invoices with a UPI payment link. Nobody searches a shared folder, and nobody asks "which version is final?" These small savings add up to hours each week, but we cannot put a number on them for your firm without seeing your workflow.

What should you watch for on confidentiality and data safety?

Client confidentiality is the central concern. Check five things before you pick a developer or a tool.

1. Where the documents are stored (which country and which cloud account), and whether that account is in your name.

2. Who can open which matter. Role-based access means a clerk sees only assigned cases.

3. Whether every access is logged, so you can see who opened a file.

4. How backups work, and how long it takes to restore.

5. What happens to data when you leave. You need a full export.

The Digital Personal Data Protection (DPDP) Act applies to personal data you collect from clients. Read our note on DPDP compliance for website owners for the basics. Also check your Bar Council and professional rules on client records and data storage.

Is there a real example of moving a law firm off paper and email?

Yes. One of our clients, a law firm, moved client intake, documents and case tracking off paper and email onto one system. You can read the write-up in our law firm case study. We do not quote numbers for it beyond that description, and your own firm's needs may be different.

Should you buy ready-made software or build your own?

Buy ready-made if your practice looks like most others, you have fewer than a handful of users and the tool covers your court workflow. Build custom if you need Indian court- specific stages, your own intake forms, WhatsApp updates, client logins or a system that connects to your accounting.

A middle path works for many firms: start with a small custom system for intake and hearing dates, and grow it. Because you own the code, you are not stuck if you outgrow us either.

If the idea is more about a web application for your firm than a legal product, our website and web application development service page describes how we scope and build.

FAQ

How much does law firm software cost in India?

A custom web app starts from ₹9,999 at Ureka, and a complete system with portal, documents and reminders usually falls between ₹2.5 and ₹10 lakh. The final figure depends on users, documents and integrations.

Can a case management system send hearing date reminders on WhatsApp?

Yes, it can be built, and WhatsApp messages carry their own charges. Reminders can go to the advocate, the junior or the client.

Is client data safe in cloud-based legal software?

It can be, when access is by role, access is logged, backups run, and the cloud account is in your name. Ask the developer to show each of these before you sign.

Do small law firms and CA firms need case management software?

Not always. A solo advocate with a few active matters may do well with a calendar and a shared folder. Software pays back when several people work on many matters and dates are being missed. CA and compliance firms with many clients and due dates face a similar problem.

Can I own the software built for my firm?

You should. Ask for the code, data, domain and hosting accounts to be assigned to you in writing. At Ureka, the client owns the code, domain, accounts and data from day one.
